I always recommend going one size up from what the math suggests. A crowded floor feels electric for about two songs, then people drift to the edges and stop dancing. A slightly bigger floor keeps the energy going all night.

What Most Hosts Forget (and How to Fix It Before the Day)

How Uplighting Works With Your DJ Setup

Uplighting is not a separate service that lives in a vacuum. It ties directly into your music, your MC cues, and your dance-floor energy. Here is how I integrate the two.

During cocktail hour, I set the uplights to a warm amber or soft gold. The room feels like a candlelit dinner. When I announce the wedding party entrance, I shift the color to match the couple's palette, maybe navy and blush, maybe emerald and champagne. That color shift signals to every guest that the energy is changing.

For the first dance, I dim everything except the dance-floor border lights and a single white spot. After the first dance, when I open the floor with something like "September" by Earth, Wind and Fire or "Uptown Funk," the uplights ramp to full color and the room explodes.

At the end of the night, during the last slow song ("At Last" by Etta James is still the most requested closer in Auburn), I bring the lights back to a warm amber fade. It creates a natural emotional arc that guests feel even if they do not consciously notice.

Five-Step Rental Setup Checklist for Event Day

Use this as your morning-of checklist. I text a version of this to every coordinator I work with.

1. Confirm load-in times. Call or text every vendor by 8 a.m. to confirm arrival windows. Share the venue's loading-dock or side-door instructions.
2. Walk the power circuit. Identify every outlet you plan to use. Flip each breaker on. Label which circuit runs which wall. This takes ten minutes and prevents a mid-reception blackout.
3. Place and test uplights. Set all fixtures, power them on, and walk the full perimeter. Replace any fixture that flickers. Confirm color settings with the couple or planner before guests arrive.
4. Sound check with the officiant mic. If the ceremony and reception are in the same space, do this before chairs are set. Test volume from the back row, not the front.
5. Final photo walk. Thirty minutes before doors open, walk the room with your phone camera. Anything that looks off in a photo will look off to guests. Adjust uplighting angles, hide cables, and straighten linens.
